Signing up for MAPflow is easy. Simply navigate to our sign-up page, and let us guide you through the process. Make sure to have your pharmacy’s accreditation/permit number and your license number on hand. Additionally, we strongly recommend you use your own email address to register, not a shared pharmacy account.

How long does setup take?

Signing up for MAPflow and setting up your profile takes less than 15 minutes.

How much time do I save per assessment?

On average, MAPflow users save 15 minutes per assessment. Each minor ailment takes you through a series of questions following the Pharmacists’ Patient Care Process (PPCP). While there is variability in the number of questions for each ailment, an assessment in MAPflow Standard mode should take between 6-10 minutes once you are familiar with the structure and content.  An assessment in MAPflow PRO mode will take less than 6 minutes.

How do I know that the information for the assessment algorithms is up-to-date?

When regulations change, the algorithms will be updated immediately. When clinical practice guidelines and standards change, the algorithms will be updated within 6 months. In the absence of regulatory or clinical guideline changes, the assessment algorithms will be reviewed and updated annually by content experts, spearheaded by Dr. Nardine Nakhla.

Yes! Our patient intake feature means you can send a secure link via email or SMS and let patients fill out their own demographic details at their convenience. What is MAPflow’s refund policy?

After you use the system for the first time, there is no refund for a MAPflow subscription. This means that once you create an assessment with a patient, you have used the service.

How will I know when a referral is necessary?

When hovering over a box for an answer option that will lead to medical referral, it will be highlighted in red. This is to ensure you know why, if you click next, a referral will be prompted.

No, under no circumstances can you share your MAPflow login credentials. This is critical for audit and compliance purposes. Each subscription is linked to the user’s license. If you’re looking to collaborate with your pharmacy team on MAPflow, consider investing in our per-pharmacy subscription.

After paying for MAPflow through the Ontario Pharmacists Association (OPA), you will receive a unique activation code and instructions via email from the MAPflow team within 48 hours.

  1. Prepare for patient consent: Before you begin assessments, it's crucial to facilitate the patient consent process. Please print the privacy policy and patient information sheet to have them ready.
  2. Complete your profile setup: Take a few minutes to set up your profile. You can follow our helpful 3-minute video or refer to the written instructions.
  3. Invite your team (if applicable to you): If you're utilizing our per-pharmacy subscription, make sure to invite your team members to join you! What is MAPflow’s pricing model?

We offer annual subscriptions that begin the day you purchase. MAPflow's individual subscription is per pharmacist and the pharmacist can use their subscription in any pharmacy. MAPflow's per-pharmacy subscription is for one pharmacy with an unlimited number of users. Subscriptions renew automatically and you can cancel your renewal at any time during your annual subscription. You can see more pricing details here.

How do I register a pharmacy on MAPflow?

Once you register in MAPflow, you can activate a pharmacy using the Create New Pharmacy button. Ensure that you are using the right accreditation number for the Pharmacy. If it is taken, it means that the Pharmacy is already active. If this happens, contact the Pharmacy and have the MAPflow Administrator invite you to the Pharmacy.

Can I share my MAPflow subscription with other pharmacists at my pharmacy?

MAPflow offers two kinds of subscriptions. MAPflow's individual subscription is limited to one pharmacist and is not to be shared. Each subscription is linked to the user’s license. This subscription is best for relief pharmacists, pharmacists that work at multiple locations, and for a pharmacy with one pharmacist. MAPflow's per-pharmacy subscription allows an unlimited number of users in one pharmacy. This option is best for pharmacies with multiple pharmacists and health teams.

I own two or more pharmacies. Can I be the Pharmacy administrator for both? How do I set this up?

You can register multiple pharmacies. Register the first pharmacy once you sign up to use MAPflow. Once on the pharmacy's dashboard, go to the My Pharmacy tab on the left side.  Go to Settings and Create New Pharmacy.  You can read additional details for MAPflow's per-pharmacy subscription here.

My pharmacy does not have a subscription but I do. How do I use my subscription?

Any pharmacist can be the MAPflow Administrator and set up a pharmacy. If you have a MAPflow individual subscription then you can be the administrator. Simply add your pharmacy to your account. Contact us if you need help at support@mapflow.ca

What to do if you purchase a pharmacy that already has a MAPflow account?

If you purchase a pharmacy that already has a MAPflow account and you want to use MAPflow at that  pharmacy, please email MAPflow's customer service via email at support@mapflow.ca. We will create a new accreditation number for the newly purchased pharmacy.

Throughout each algorithm, there are tool tips that provide you with additional information to facilitate just-in-time learning as well as definitions of terms. For CPS Full Access subscribers, a link to the relevant chapter in the CPS will be displayed whenever an assessment is being conducted.

How does MAPflow manage privacy compliance?

Our security requirements are powered by DuploCloud, a leading privacy compliance platform built specifically for the needs of the digital health industry. Our application environment has been wrapped with all of the technical controls and safeguards required by today’s healthcare enterprise systems. Each element of our security architecture ties back to a specific policy of ISO 27001. These policies are then mapped to the corresponding privacy frameworks and industry standards where we operate.

I’m a the MAPflow administrator for my pharmacy, can I control who has access to my pharmacy-level data?

The MAPflow Administrator is responsible for adding and removing pharmacists. As soon as you remove a pharmacist, that pharmacist will no longer have access to the pharmacy in MAPflow. However, all assessments performed by that pharmacist are still available in the pharmacy.

I am a pharmacist who is using my subscription in multiple pharmacies. How do I switch between them?

If you are a pharmacist who has works at multiple pharmacies, then you can switch between them where the pharmacy name is displayed (top of dashboard).

I am automatically logged out of MAPflow after a certain amount of time?

If you are inactive for 30 minutes on MAPflow, you will automatically be logged off. Further, if you have been active for 3 hours on MAPflow, you will be asked to log back in; you will return to where you were after logging back in.

How is patient informed consent documented?

It is a legal requirement for each patient to provide informed consent to the in-person or virtual minor ailment service. Patient consent to minor ailment assessment is documented at the beginning of each assessment algorithm through a check box.
Patients must also give verbal consent to MAPflow’s privacy policy. Each pharmacist should print out a paper copy of the Privacy Policy as well as the patient-facing one page information sheet of the privacy policy, found at https://mapflow.ca/privacy. Display the information sheet where the patients can see it. If the patient would like to read the full privacy policy, they can use the QR code on the information sheet or the pharmacist can provide a paper copy for them to read. For a virtual visit, the pharmacist can provide the url to the privacy policy (https://mapflow.ca/privacy). Patient consent to MAPflow’s Privacy Policy is documented at the beginning of each assessment algorithm through a check box.

The privacy and security of all identifiable data about you and your patients is our top priority. No third party will receive any identifiable information about you or your patients. This includes the College.

How do I invite pharmacists to my per-pharmacy subscription?

First, set up your per-pharmacy subscription here. Next, link your pharmacy to your account. Then you can invite your pharmacists to join your per-pharmacy subscription. They will receive an automated email and will set up their accounts under your pharmacy. They will not pay for a new subscription.

I have an individual subscription to MAPflow and I want to change to a per-pharmacy subscription. How do I do that?

Upgrading to a per-pharmacy subscription is easy. You will keep your existing account - your email and your password - and you will add a new subscription to your account. You can then turn off auto-renewal on your individual account if you do not wish to keep it. You can read more about this process on our blog.
