How does MAPflow’s system work?
MAPflow is a cloud-based system that can be run on a desktop, laptop or iPad, freeing up a terminal. You do not need to download anything to use MAPflow.

When was MAPflow founded?

Who created MAPflow’s assessment algorithms?
MAPflow's assessment algorithms are led by Dr. Nardine Nakhla, PharmD, RPh — a pharmacist and researcher with extensive experience in pharmacy practice and policy — alongside a team of subject matter experts and peer reviewers. Reviewers include pharmacists, academics, and clinicians from institutions including the University of Waterloo, University of Toronto, and University of Ottawa. When regulations change, algorithms are updated immediately. In all other cases, algorithms are reviewed and updated at minimum annually. Is MAPflow a clinical decision support tool or a scheduling/booking platform?
MAPflow is a clinical decision support and documentation platform supporting automated follow ups, digital faxing, and more — not a scheduling or booking tool. Its core function is guiding pharmacists through evidence-based assessment algorithms for minor ailments, OTC consultations, and chronic disease management, then automatically generating compliant, province-specific documentation. For pharmacies that also want online patient booking and marketing tools, MAPflow integrates directly with MedMe, which handles scheduling. This means pharmacists get best-in-class clinical support from MAPflow and best-in-class booking from a dedicated platform.

What subscriptions does MAPflow offer?
MAPflow offers two subscription levels. Our per-pharmacy subscription allows for unlimited users in one pharmacy, all for one price. It includes exclusive features such as automated follow-ups, eFax, role based access, PMS integration and more. Our individual subscription was built for relief pharmacists. Can I book a demo?

How do I sign up?
Signing up for MAPflow is easy. Simply navigate to our sign-up page, and let us guide you through the process. Make sure to have your pharmacy’s accreditation/permit number and your license number on hand. We strongly recommend you use your own email address to register, not a shared pharmacy account.
How long does setup take?
Signing up for MAPflow and setting up your profile takes less than 15 minutes.
Does MAPflow offer a free trial?

Yes! MAPflow's incident reporting platform fully meets the Ontario College of Pharmacists' (OCP) AIMS Incident Management Platform Criteria and the College of Pharmacists of British Columbia's (CPBC) incident reporting requirements. In partnership with ISMP Canada, MAPflow utilizes the Medication Safety Self-Assessment (MSSA) to fulfill the Safety Self-Assessment requirement. What’s the difference between MAPflow Pro and Standard mode?
In response to your feedback and needs, we've introduced two modes in MAPflow: PRO for experienced pharmacists who are confident with minor ailment assessments and need to prioritize efficiency, and STANDARD for a broader audience with varying expertise levels. How can I practice using MAPflow before seeing a real patient?
The demo patient allows you to gain experience with MAPflow’s platform and algorithms, helping you gain confidence or refresh your memory before assessments. Check out the Using the Demo Patient article in MAPflow Academy to learn more.
How much time do I save per assessment?
On average, MAPflow users save 15 minutes per assessment. Each dynamic assessment takes you through a series of questions following the Pharmacists’ Patient Care Process (PPCP).
How does MAPflow's automated patient follow-up work?
When completing a minor ailment assessment, simply select "Patient Directed" as your follow-up method — you can also change this after the fact if needed. On the follow-up date, MAPflow automatically sends your patient a text or email containing a link to a secure follow-up form they complete at their convenience. If any issues are detected in their responses, MAPflow instantly notifies you and flags them in the follow-up report for your review and action. No phone calls, no manual tracking, no chasing — the entire follow-up process is automated while keeping you in control of patient safety. For per-pharmacy subscribers, this works alongside patient-directed intake, which lets you send patients a secure link to complete their own demographic information before the assessment even begins — so both ends of the care journey can be delegated to the patient, freeing up significant time for your team.
Can I delegate intake to the patient?
Yes! Our patient intake feature means you can send a secure link via email or SMS and let patients fill out their own demographic details at their convenience.
How does MAPflow handle documentation?
MAPflow automates 100% of the documentation, and we ensure it’s province-specific. This includes the prescription, primary care provider notification, patient report, and pharmacy assessment record. How does role-based access work?

Assessment Algorithms
How many minor ailments are covered in MAPflow?
MAPflow contains all minor ailments within scope in your province. MAPflow also provides algorithms for OTC consultations and to support chronic disease management.
How does MAPflow support pharmacy professionals with OTC consultations?
MAPflow elevates OTC consultations in pharmacies by providing evidence-based algorithms, streamlined documentation, and support for formalizing these interactions. Which provinces does MAPflow support?
MAPflow is currently available in Ontario, British Columbia, Alberta, Quebec, New Brunswick, Nova Scotia, Prince Edward Island, Newfoundland and Labrador, and Manitoba. Each province has its own tailored workflows, drug coverage, and billing PINs aligned with local regulations. We are actively working to expand to remaining Canadian provinces and territories. How do I know that the information for the assessment algorithms is up-to-date?
When regulations change, the algorithms will be updated immediately. When clinical practice guidelines and standards change, the algorithms will be updated within 6 months. In the absence of regulatory or clinical guideline changes, the assessment algorithms will be reviewed and updated annually by content experts, spearheaded by Dr. Nardine Nakhla.
How will I know when a referral is necessary?
When hovering over a box for an answer option that will lead to medical referral, it will be highlighted in red. This is to ensure you know why, if you click next, a referral will be prompted.
Does MAPflow support virtual or telehealth consultations?
Yes. MAPflow supports both in-person and virtual minor ailment assessments. For virtual visits, the pharmacist can share the MAPflow privacy policy with the patient in lieu of a printed copy, and patient consent is documented digitally at the start of the assessment algorithm.
How can I get more information on each minor ailment on the MAPflow platform?
Throughout each algorithm, there are tool tips that provide you with additional information to facilitate just-in-time learning as well as definitions of terms. For CPS Full Access subscribers, a link to the relevant chapter in the CPS will be displayed whenever an assessment is being conducted.
What should I do if I disagree with something in one of the algorithms?

Account & Billing
How do I upgrade my subscription?
Upgrading to the per-pharmacy plan is easy and takes less than five minutes. Follow these simple instructions in MAPflow Academy.
How do I change my password?
You can change your password from inside the app, or use the "Forgot password?" link on the login page if you’ve been logged out. For step-by-step help, visit MAPflow Academy.
Does MAPflow offer discounts for multiple locations?
Yes. If you have more than three pharmacy locations, reach out to us via email to discuss bundle pricing, support@mapflow.ca.
How do I turn off/on auto-renewal?
Turning auto-renewal off/on is easy. Follow these simple instructions in MAPflow Academy.
What is MAPflow’s refund policy?
After you use the system for the first time, there is no refund for a MAPflow subscription. This means that once you create an assessment with a patient, you have used the service.
When will I be charged?
You will be charged on the day of purchase, and the same day each following year for subscriptions paid annually. MAPflow does offer monthly payments for our per-pharmacy model, on an annual contract. In this case, you would be charged the same day each month.
If I paid through OPA, how will I get access to MAPflow?
After paying for MAPflow through the Ontario Pharmacists Association (OPA), you will receive a unique activation code and instructions via email from the MAPflow team within 48 hours. If you cannot find this email, please check your junk or spam folder. Additionally, you may reach out to us for support.
Where can I view my past invoices?
MAPflow will automatically send you a copy of all invoices. Be sure to check the email you used to register for MAPflow. If you’re unable to locate an invoice, you can reach out to our team via email, support@mapflow.ca.
What is MAPflow’s pricing model?
MAPflow's per-pharmacy model covers unlimited users at a single location, all for a highly competitive flat fee. To learn more about our pricing and subscriptions, visit our pricing page. Subscriptions renew automatically and you can cancel your renewal at any time during your annual subscription.
How do I register a pharmacy on MAPflow?
Once you register in MAPflow, you can activate a pharmacy using the Create New Pharmacy button. Ensure that you are using the right accreditation number for the Pharmacy. If it is taken, it means that the Pharmacy is already active. If this happens, contact the Pharmacy and have the MAPflow Administrator invite you to the Pharmacy. If you need support, reach out via email at support@mapflow.ca.
My pharmacy does not have a subscription but I do. How do I use my subscription?
Any pharmacist can be the MAPflow Administrator of a pharmacy, even with an individual subscription. Simply add your pharmacy to your account. For step by step instructions, visit MAPflow Academy.
What if I don't receive my activation email during registration?
If you do not receive your verification email during registration, please check junk or spam. If you are still unable to locate it, contact us here: support@mapflow.ca.
How do I get a refund for my MAPflow subscription?
After you use the system for the first time, there is no refund for a MAPflow subscription. This means that once you create an assessment with a real patient, you have used the service. If you are purchasing a full pharmacy subscription, and would like to cancel your individual subscription, you may be eligible for a partial refund. Reach out to us via email at support@mapflow.ca.
What email address should I sign up with?
Use your own email address when registering for MAPflow and not the pharmacy’s email address.

How do I invite pharmacists to my per-pharmacy subscription?

That means your team doesn't need to purchase their own subscription, you just need to invite them to join you. MAPflow lets you customize access levels for each team member, ensuring seamless collaboration from initial patient intake through to clinical decision-making and follow-up. I have an individual subscription to MAPflow and I want to change to a per-pharmacy subscription. How do I do that?
Upgrading to a per-pharmacy subscription is easy. Your account login won't change, you simply add a new subscription to your account. You can then turn off auto-renewal on your individual account if you do not wish to keep it. For steps on how to upgrade, visit MAPflow Academy.
Privacy & Security
Is MAPflow PHIPA and PIPEDA compliant?
Yes. MAPflow is fully compliant with Ontario's Personal Health Information Protection Act (PHIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). We also comply with additional provincial health privacy legislation, including Alberta's Health Information Act (HIA) and BC's Personal Information Protection Act (PIPA). Our security practices align with ISO 27001 standards, and we are in the process of achieving SOC 2 Type II certification. You can read our full security commitment on our blog.
How does MAPflow manage privacy compliance?
MAPflow is fully compliant with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) requirements. We are fully compliant with Ontario's Personal Health Information Protection Act (PHIPA), ensuring the highest standards for personal health information protection. We comply with additional provincial health information protection legislation (such as Alberta's HIA and BC's PIPA). Our security requirements are powered by DuploCloud, a leading privacy compliance platform built specifically for the needs of the digital health industry. Our application environment has been wrapped with all of the technical controls and safeguards required by today’s healthcare enterprise systems. Each element of our security architecture ties back to a specific policy of ISO 27001. These policies are then mapped to the corresponding privacy frameworks and industry standards where we operate. We maintain compliance with evolving regulations through continuous monitoring and adaptation. All compliance procedures and controls are thoroughly documented.
I’m the MAPflow administrator for my pharmacy, can I control who has access to my pharmacy-level data?
The MAPflow Administrator is responsible for adding and removing pharmacists. As soon as you remove a pharmacist, that pharmacist will no longer have access to the pharmacy in MAPflow. However, all assessments performed by that pharmacist are still available in the pharmacy.
How is patient informed consent documented?
It is a legal requirement for each patient to provide informed consent to the in-person or virtual minor ailment service. Patient consent to minor ailment assessment is documented at the beginning of each assessment algorithm through a check box.Patients must also give verbal consent to MAPflow’s privacy policy. Each pharmacist should print out a paper copy of the Privacy Policy as well as the patient-facing one page information sheet of the privacy policy, found at https://mapflow.ca/privacy. Display the information sheet where the patients can see it. If the patient would like to read the full privacy policy, they can use the QR code on the information sheet or the pharmacist can provide a paper copy for them to read. For a virtual visit, the pharmacist can provide the url to the privacy policy (https://mapflow.ca/privacy). Patient consent to MAPflow’s Privacy Policy is documented at the beginning of each assessment algorithm through a check box.
Will my data or patient data be reported to the College?
The privacy and security of all identifiable data about you and your patients is our top priority. No third party will receive any identifiable information about you or your patients. This includes the College.
